Sigilo Clinical note
CLINICAL TRANSCRIPTION · LOCAL PROCESSING

The session never leaves the room.

Sigilo turns your session recording into a ready clinical note — without the audio ever touching a third-party AI cloud. Just you, your client, and processing you control.

WHAT'S AT STAKE

Every transcription tool promises confidentiality. Few say where the audio actually goes.

Most "AI note" tools record your session, send the audio to a third-party AI server — usually in the US — process it there, and hand back text. This happens behind a layer of "encryption" and "compliance" language that describes how the data is stored, not how many hands it passes through to get there.

For a session protected by professional confidentiality, that distance matters. Sigilo exists to close it: the audio doesn't travel further than you decide it should.

HOW IT WORKS

Five steps, from the room to the finished note.

01

Record the session

With client consent, however you already record — phone, Zoom, a recorder.

02

Send via private link

A one-time upload link, created just for you, expires after you send.

03

Local processing

Transcribed and organized on infrastructure only I control — no third-party AI ever touches the audio.

04

Note ready in 24h

Summary, key points and observations, in clinical note format.

05

Audio deleted

The original file is deleted within 48h of delivery. No copy, no cloud backup.

NO MIDDLE GROUND

"Encrypted in the cloud" and "processed locally" are not the same promise.

CLOUD TOOL

"Your data is safe with us"

  • Audio uploads to their servers before anything else
  • Processed by a third-party AI API (OpenAI, Google, etc.)
  • Retention set by their terms of service, not yours
  • You're trusting a privacy policy
SIGILO

"The audio doesn't leave here"

  • Processed with a transcription engine running locally, no AI API call
  • Only I, the person running this, have access to the file
  • Deleted within 48h, always — not a setting, the default
  • You're trusting one named person who answers directly

STRAIGHT QUESTIONS

What professionals ask before they trust this.

Do I need client consent to record?
Yes, always — that doesn't change with Sigilo. Recording and how it's used follow the same ethical rules that already govern your practice. Sigilo only handles what happens after you've decided to record.
What happens to the audio after delivery?
It's deleted from the infrastructure within 48h of the note being delivered. No backup, no cloud copy, no reuse for anything else.
Does this replace my EHR / practice management software?
No. Sigilo hands you a finished session note to paste, edit, or file wherever you already keep your records — it's not a patient management system.
Does it work for online sessions (Zoom, Meet), or in-person only?
Both — any audio you can export (a local Zoom recording, a voice recorder, your phone) works.
How long does it take?
Within 24h of sending, usually much less. Sessions sent in the morning are often back the same day.
Is this HIPAA / GDPR compliant?
Sigilo is run by one named person, not a platform with outsourced teams — the core principle behind HIPAA and GDPR (minimizing who touches sensitive data) is built in by design: the audio never passes through more than one set of hands. This isn't a formal certification, it's an architecture built around that principle.
